HEREMA is searching for a proactive and detail-oriented Administration Assistant with excellent interpersonal skills, strong speaking and writing skills, and strong work ethic. This position reports directly to the CEO and is responsible for all business-related duties as delegated by the CEO. Your role will be primarily to provide comprehensive assistance to the CEO.
As an Administration Assistant your responsibilities will include the following:
- – Assist in the timely management of communications, including written, telephone and email.
- – Act as the point of contact among executives, employees, investors and external partners.
- – Compose and edit letters, documents, emails, proposals and ensure follow up with those that require responses and written replies.
- – Assist in the management and organization of the CEOs calendar by scheduling appointments, meetings, and other engagements.
- – Make travel and accommodation arrangements.
- – Coordinate onsite meetings, luncheons, coffees and other events.
- – Perform a variety of office tasks.
- – Coordinate and manage vendors and contractors.
- – Act as an office manager by keeping up with office supply inventory.
- – Format information for internal and external communication – memos, emails, presentations, reports.
- – Organize and maintain the office filing system
REQUIRED Qualifications
- – University Degree in Business Administration or relevant field
- – At least 3 years working experience as an Administration Assistant or similar role
- – Excellent MS Office knowledge
- – Outstanding organizational and time management skills
- – Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
- – Excellent verbal and written communications skills
- – Creative problem solving; must demonstrate a can-do attitude.
- – Ability to multi-task, prioritize and manage time efficiently.
- – Ability to resolve complex administrative problems independently and perform tasks that are diverse and advanced.
- – Demonstrate highest level of ethics and ability to maintain confidentiality at all times with all situations and documentation.
- – Full professional capability in Greek and English.
